How to Use the Calendar in the CRM
June 17, 2026 · tropicalhilladmin
The Calendar pulls together everything with a date on it — tasks, leads, and recurring job visits — into one scheduling view, instead of you checking three separate grids to see what's happening today.
Views
Switch between Month, Week, Day, and a List (agenda-style) view from the toolbar. It opens in Week view by default.
Use the arrow buttons in the toolbar to move forward and back; the current range is shown as the title in the middle.
What shows up on it
Tasks, Leads, and Jobs can each be toggled on or off with a Display checkbox — turn off whatever you don't need cluttering the view.
Job visits aren't a separate kind of event under the hood — they're simply tasks that belong to a recurring job, so anything you learned about tasks generally applies to job visits here too.
Lead events are placed based on when the lead was last created or updated, giving you a rough sense of recent lead activity alongside your scheduled work.
Filtering
Assigned To filters the calendar down to one specific user — the fastest way to see just your own schedule, or check what a specific teammate has on their plate.
Show filters by task type, and separate Task Status and Lead Status filters let you narrow further — for example, hiding anything already marked done.
Working with events
Hover over any event for a tooltip with its due date, type, assigned user, and — for lead-linked items — the lead's contact info and status.
Double-click an event to open it fully — this takes you to the Tasks or Leads page with that record's editor already open, rather than opening an editor on the Calendar page itself.
Drag a task or job event to a new day or time slot to reschedule it — the change saves automatically.
Lead events can be dragged around visually, but that move doesn't actually save anywhere — leads don't have a "due date" to update the way tasks do, so treat dragging a lead event as just a way to preview, not a real reschedule.
Color coding
Events are tinted using the task type's assigned color where one is set.
Without a type color, the event falls back to a color based on its status.
There's currently no on-screen legend explaining what each color means — if colors aren't obvious at a glance, check an event's type or status directly (or in Task Type/Status Maintenance settings) rather than guessing from color alone.
What Calendar can't do (yet)
There's no click-an-empty-slot option to create a brand-new task directly from the Calendar — go to the Tasks, Leads, or Jobs page to create one, and it will appear here automatically once it has a date.
There's no "Today" shortcut button in the toolbar — use the navigation arrows to get back to the current date.
There's no sync with an external calendar like Google Calendar — this is strictly an internal view of your CRM data.
There's no print or export option for the calendar itself.
A few tips
Use the List view when you just want a scannable rundown of what's coming up, rather than parsing a grid.
Filter by Assigned To before a daily huddle so each person can glance at just their own day.
If a lead event's position looks stale, remember it's driven by when the lead was created or last updated — not a scheduled appointment — so don't expect it to move on its own.
Give your task types distinct, memorable colors in Maintenance settings — since there's no legend on the calendar itself, consistent color choices are what make the board scannable at a glance.
